Chatbot or AI agent: which one does your company need?
In this article

Chatbot and AI agent are often used as synonyms, but they do not do the same thing. The difference matters because it determines how much work is actually taken off your team. This guide explains what each one is, how they differ and how to decide which one your company needs.

The short answer

A chatbot converses and answers questions using the information you give it. An AI agent, besides conversing, acts: it reads from and writes to your systems (ERP, CRM, calendar, email), completes tasks from start to finish and escalates to a person when it is not sure.

What a chatbot is

A chatbot is a conversational assistant. The older ones followed decision trees with fixed answers; current ones use language models and understand open-ended questions. They are useful for resolving frequent queries about opening hours, services, terms or policies, but when the answer depends on a piece of data in your system, such as the status of an order, they usually hand over to a person.

What an AI agent is

An AI agent combines a language model with controlled access to your tools. It can check the status of an order in the ERP, record a lead in the CRM, open an incident, book an appointment, or read an invoice and register it. It works via chat, WhatsApp, email or phone, and keeps a record of every action.

Main differences

  • Goal: the chatbot informs; the agent resolves the whole task.
  • Data: the chatbot uses texts and frequently asked questions; the agent queries live data from your systems.
  • Actions: the chatbot changes nothing; the agent creates, updates or processes within defined permissions.
  • Channels: the chatbot usually lives on the website; the agent also handles WhatsApp, email and phone.
  • Oversight: the agent escalates to a person with the full context when it cannot resolve the case.

Which one your company needs

If the queries you receive can be answered with fixed information, a well-trained chatbot is enough. If most of them require looking something up in a system or doing something (orders, appointments, incidents, quotes), you need an AI agent: that is where the hours saved are concentrated.

Key question: does your team answer by copying information from one system or typing into another? If the answer is yes, the savings are in an agent, not in a chatbot.

How to get started

  1. 1List the most frequent queries and mark which of them require reading or modifying a system.
  2. 2Choose a single high-volume process for the pilot.
  3. 3Define an indicator: queries resolved without intervention, response time or hours freed up.
  4. 4Connect the agent with minimum permissions and human oversight during the first weeks.
